Position Summary:
 The Director of Operations and Internal Review is responsible for providing the leadership, training, and management necessary to ensure that proper operational controls and people systems are in place to enable value-added and exceptional service to internal and external customers. This position develops highly efficient procedures, processes, and systems and ensures the consistent application of these Policies, Procedures, Processes and Systems. The Director of Operations and Internal Review is responsible for the overall direct operational aspects of the Deposit and Loan Operations Dept and assisting with its successful development. This role ls responsible for ensuring and improving the performance, productivity, and efficiency of the departments through the provision of effective leadership and training. The Director of Operations and Internal Review works collaboratively with the Leadership Team to proactively identify operational inefficiencies.

  • Provides leadership, training, and supervision to operations specialist personnel; Assists in developing new deposit and loan business; provides a superior level of customer relations and promotes the sales and service culture through coaching, guidance, and staff motivation; achieves individual and operations goals that relate to the bank’s (TCB) strategic goals.
  • Manage the Electronic Storage of Loan/Retail Documentation
  • Assist with the implementation and the management of all retail banking products.
  • Ensures the Department meets performance standards by communicating job expectations; planning, preparing, prioritizing and being initiative-taking; coaching and counseling.
  • Formulate and implement operational policies and procedures to maximize performance.
  • Provide a work environment that stimulates positive energy, creativity, and teamwork.
  • Manages all loan operational responsibilities including, but not limited to; document preparation, processing and servicing, account reconciliation and reporting functions, post-closing document review and imaging. Supervise loan document preparation to ensure all loans are being processed in a timely and proper manner. Supervise all aspects of loan servicing to include payment posting, loan booking and system review. Manage the post-closing function to ensure all Deeds of Trust, UCC’s and Security documents are accurate, and the Bank is secured. Oversee the imaging and vault retention of secured documents and legal instruments and ensure they are properly imaged for the review of lenders and audit personnel.
  • Manages all deposit operational responsibilities including but not limited to; NSF and overdraft processing; holds and stop payments; currency transaction reports; acceptance and research procedures for a variety of legal processes; ATM duties; documentation and procedures required for accounts involving the death of account holder(s); incoming and outgoing collections; incoming and outgoing wires; certifications.
  • Manages all treasury management operational responsibilities including but not limited to wires, ACH’s, Positive Pay, and RDC customer files.
  • Work in conjunction with Accounting, Finance, Compliance, Operations, Credit and BSA to review reports, processes, procedures and other data related information for accuracy and efficiency.
  • Oversee the audit document process as it applies to the departments within the purview of assigned departments.
  • Develop and manage budgets for the Operations and Retail Departments.
  • Assist the CFO in various financial and accounting functions as needed or requested.
  • Partner with the CFO to manage the Bank’s core relationship and help determine if a new core is in the best interest of the bank.
  • The job duties listed above are not all inclusive of all duties of this position. On occasion, the board of directors or CEO may request special projects such as, but not limited to, entry into new markets, acquisitions, and/or branch restructuring.

 

 

Requirements/Skill Level:

  • Education/Experience
    • Bachelor’s Degree
    • +5 years’ experience and or training in the banking industry.
    • Advanced experience, knowledge and training in branch operation activities, terminology and products and services
    • Management skills for communication, delegation, and prioritization
    • Basic knowledge of related state and federal banking compliance regulations, and other Bank operational policies
    • Basic skills in computer terminal and personal computer operation; mainframe computer system; and word processing, spreadsheet, and account opening software programs.
    • Effective and excellent verbal, written and interpersonal communication skills.
    • Skilled to prioritize work, while managing multiple tasks
    • Excellent diligence and organizational skills
    • Able to function as a team player.
    • Great time-management skills

 

  • Bank Secrecy Act
    • Maintain sufficient knowledge and understanding of the Bank Secrecy Act, Anti-Money Laundering/Anti-Terrorist Financing/PATRIOT Act and OFAC regulations.
    • To be able to fulfill applicable requirements and responsibilities under the bank’s related policies and programs.

 

 

Goals and Objectives

  • Develop an Operations group that can operate at a level that supports the functions commiserate of the complexity of Tower Community bank.
  • Review and upgrade all operation related processes to increase workflow efficiency.
  • Work directly with the CFO and CCO to review the loan portfolio to ensure all current loans are correctly coded for regulatory reporting.
  • Work directly with the CFO and CCO to ensure the document storage system is operating with efficiency and efficiency.
  • Create redundancies with the Operations staff to prevent a loss of efficiency during absences of staff.
  • Work with Leadership team to develop procedures and process for a Hybrid Work Staff.
  • Identify and train a subordinate to create a path of succession.
  • Create a system to review all Operations and Credit outputs to ensure quality is measurable and at acceptable levels.
