Job Title: Deposit Operations Specialist

 

 

Position summary: Responsible for daily electronic banking, deposit operations and associated accounting functions in accordance with Bank policies, operating procedures, audit requirements and federal regulations while adhering to deadlines.

 

 

Qualifications required:

  • High School Diploma or equivalent
  • Two years bank operations experience
  • Attention and focus to detail
  • Proficient with Microsoft Word and Excel and have the ability to learn multiple systems used throughout department
  • Ability to work independently and manage multiple priorities to reach daily deadlines
  • Ability to communicate both verbally and written in a professional manner
  • Familiar with Jack Henry banking products is helpful.

 

 

Responsibilities and Essential Duties:

  • Basic accounting skills are needed for reconcilement(s) such as daily/monthly general ledger and internal deposit account balancing.
  • Preparation/processing of daily accounting entries for Fed transactions both inclearing and outgoing cash letter(s), ACH settlements and as needed for collection items and backup/ IRA withholding.
  • Processing of NSF’s, Non-Post, Returns, Cash Items, Large dollar notification’s, holds, stop payments, NOC’s, Death notices, ACH IAT’s, Dormant accounts, knowledge of Reg., CC holds, excess debits etc.
  • Process the balancing of the daily settlement on ATM/Debit card transactions, prepare accounting entries, research, and resolve differences and reconcile ATM suspense accounts.
  • Submit adjustment to the Fed for encoding errors, duplicate check processing, cash letter differences, check forgeries, unauthorized transactions etc.
  • Account maintenance such as rate changes, new address verification, statement cycle changes, updating relationships on accounts, charged off account reporting, closed accounts and refund requests to name a few.
  • Process both domestic and international wires, both incoming and outgoing, including obtaining customer callback, OFAC and potential fraud transaction verifications.
  • Processing of new, closed, past due and annual audits on Safe Deposit Boxes
  • IRA reporting such as semi-annual RMD letters and 1009R reporting in addition to helping front end staff with the coding of transactions.
  • Process Account Asset Verification(s), Levy’s, Subpoenas, Reclamations and returned mail.
  • Processing the ATM/Debit Card program i.e., card issuance, hot carding, researching and resolving customer inquiries, debit card increases, travel notices, digital wallets and Visa tokenization for Apple and Samsung payment platforms, CAMS alerts on debit cards etc.
  • Assist with researching and resolving Regulation E – EFT errors. Completion of affidavits or statement of errors, investigate, provisional transaction credits, customer notices, case submissions and management all while following necessary procedures and regulations in compliance with Regulation E. Also maintaining of the Reg., E log.
  • Assist our frontline staff with E-Banking: Online banking platform for both consumers and businesses, FI 2 FI transfers, A 2 A transfers, AFT’s, Sweeps, ATM/Debit cards, remote deposits, ACH’s, iPay, iTalk, resetting of MFA, Web support for customer chat function, Electronic Statements and notices etc.
  • Assist with Remote Deposit Capture and Cash Management (Treasury Management) product set up for business customers, i.e., company set up, administrator authorization, password generation, tokens, directions for ACH, Wire, Positive Pay and check processing capture products. Also assist with alerts for limit increases and velocity setting changes and keeping logs on such changes.
  • Quality control and review on new and revised accounts. An understanding of how the process works and what documents are needed from the DepositPro platform. The reporting of exception found and the clearing of said items through Teslar, the exception processing platform.
  • Works with department on scanning and indexing of documents going to cold storage.
  • Order currency for our branches and foreign currency for our customers.
  • Set up and maintain customer accounts with either CDARS or ICS within IntraFI for additional FDIC insurance.
  • Faster Payments and Real Time Payments knowledge especially for FedNow transactions
  • Intuit QuickBooks customer setup and knowing how to use the product in order to assist frontline staff.
  • Autobooks customer setup and knowing how to use the product in order to assist frontline staff.
  • Assist with updating efficiencies within the department.
  • Assist with record retention requirements of Deposit Operations Department.
  • Complete all training by assigned deadlines.
  • Inform management of potential losses and or issues due to errors or fraud.
  • Regular and predictable attendance.
  • Perform other related duties as assigned.
